Modeling Communication Management Performance in Virtual Project Teams: A PLS-SEM Approach

Abstract

This monograph examines the determinants of communication management performance (CMP) in virtual project teams and develops an empirically validated model explaining how technological, managerial, and organizational factors shape CMP. The growing prevalence of geographically dispersed, digitally mediated collaboration makes effective communication management a critical capability in project environments. Despite its recognized importance, project management methodologies provide limited guidance on how to systematically assess and improve communication management performance.

To address this gap, the study conceptualizes communication management performance as a multidimensional construct influenced by technological alignment, team and managerial communication competences, the application of communication management methods, processes, tasks, and principles, as well as the utilization of artificial intelligence (AI) tools in virtual project environments. Based on this conceptualization, the study develops a research model comprising eight determinants: task-technology fit, team communication competence, communication management competence, communication management methods, processes, tasks, principles, and AI utilization.

The model is tested using Partial Least Squares Structural Equation Modeling (PLS-SEM) and survey data collected from practitioners involved in virtual projects. The results show that task–technology fit, communication management competence, and communication management tasks exert statistically significant positive effects on CMP, highlighting the importance of aligning communication tools with project tasks, strengthening managerial competences, and formalizing communication activities. At the same time, the analysis reveals substantial unobserved heterogeneity across project contexts: several relationships vary in strength and direction across segments, indicating that the influence of many factors is not universal but context-dependent.

Overall, the monograph contributes to the literature by operationalizing communication management performance and proposing an integrated empirical framework for its analysis, while also demonstrating the importance of accounting for unobserved heterogeneity in communication management research. From a practical perspective, the findings highlight the central role of technological alignment, managerial competences, and structured communication activities, while emphasizing the need for context-sensitive and adaptive communication management approaches in virtual project environments.
